All photographers should adhere to the Studio 1854 Agency Terms & Conditions

_

Professional and non-professional photographers from all over the world are eligible to enter, but should keep in mind that the shoot(s) will take place in Oxford, UK.

Images can be shot using any camera model (film or digital) or electronic device, and images may be portrait, landscape or square in format.

Each entrant will be deemed to warrant they own the entire copyright for the work or that they have permission from the licensee and/or copyright owner/s for the uses and that they agree to the use of the work as outlined in the terms & conditions and as outlined during the calls to entry. Please familiarise yourself with the Studio terms here.

Each image can be a maximum of 10MB in size. All images must be submitted as JPEG files – any files submitted in any other format (including TIFF, PDF, PSD etc) will be discarded.

You may submit an artist statement (xxx characters), Image titles (200 character limit) and caption (750 character limit) for each photograph entered. All accompanying text must be written in English.

Deadline: 8th May 2025, 23:59 UK time.

Entrants have an additional 24 hours following this deadline to finalise and submit their entry.

Judging will take place shortly after the deadline.

There is no time frame for when the images submitted must have been taken.

Due to the high volume of entries received, 1854 Media cannot provide individual feedback for applications

The final selection of winning photographers will be determined by 1854 Media. Their decision is final.

We accept entries that consist of original photographs modified by AI. However, all significant AI modifications must be clearly indicated in the caption. Failure to declare modifications clearly may result in disqualification. The final decision will be made by British Journal of Photography and is binding

Once your images and captions have been uploaded to the system you will see an option to submit your entry. Once submitted, your entry cannot be altered. Only submitted entries will be viewed by the judges.

1854 Media & British Journal of Photography cannot be responsible for any loss or damage to submitted work.

_

No copyright is transferred to 1854 Media & British Journal of Photography in respect of any works entered.

_

For the final five images taken by each photographer, British Journal of Photography and/or Bodleian Libraries shall be entitled to an unrestricted, global, perpetual above and below-the-line license to publish the imagery on their owned channels (including social media) and for press/third-party media outlets use.

If selected, The Photographer is responsible for checking the photographers Brief to ensure that it provides reasonable requirements including but not limited to post production, high-resolution files, acceptable usage licences and achievable technical specifications for the Licensed Images.

The shoot will be arranged between June and September 2025 on date(s) mutually agreed upon between the Parties as specified in the Brief.

The shoot will take place in Oxford and the photographer’s travel costs will be covered by the grant fee.

The Photographer will receive the first of two installments of the grant fee within 30 days of signing the contract and BJP receiving the invoice.

The Photographer will receive a cash grant of £5000 overall in accordance with payment terms set out in the Brief.

Payments will be made in pounds sterling unless otherwise agreed in writing between the Parties.

The cash grant will cover all equipment, travel, fee, and editing costs incurred by the photographer, outlined in the Photographer’s Brief.

The grant will cover all photographers costs including, but not limited to: film, travel, kit, insurance, assistants, post production

The Photographer will deliver the Material to the Company as soon as reasonably practicable in accordance with the deadlines set out in the Brief and in the agreed format to enable the Company to select the Licensed Images.

Upon the first installment of the payment of the Fee for the Assignment in accordance with the payment terms set out in the Brief the Photographer grants to the Company and/or Client the right to use the Licensed Images on the express terms of the Usage Licence as detailed in the Brief. 

All Usage Licences granted by the Photographer to the Company and/or Client shall be exclusive to the Company and/or the Client unless otherwise agreed in writing.

After expiry of the exclusivity period the Photographer shall make such use of the Material including the Licensed Images as they see fit on condition that such use is not damaging to the reputation or commercial interests of the Company and/or Client.

In respect of all editorial uses by the Company and otherwise as additionally stated in the Brief the Company shall procure that the Photographer’s name is printed on or in reasonable proximity to all published reproductions of the Licensed Images.

The Photographer warrants that he/she/they hold valid public liability insurance and equipment loss or damage insurance for the duration of the Assignment and the Company shall not be liable for any loss or damage to the Photographer’s equipment whether owned or hired.

1854 Media & British Journal of Photography reserve the right to display, reproduce and publish in any media, commissioned work, without payment, for the sole purpose of promoting this commission and future commissions– this year and in future – and its promotion and publicity.

The work created by the photographer will be oriented, framed and exhibited at Bodelein Libraries as part of their permanent collection.

Bodleian Libraries will organise and cover costs from the framing, printing and install of the commissioned work

A selection of images will be published through 1854 Media & British Journal of Photography digital channels such as social media and email.
